These Terms & Conditions (“Terms”) govern your access to and use of the website proairductcleaningmadison.com (the “Site”) and the services provided by Pro Air Duct Cleaning of Madison, WI LLC (“Pro Air,” “we,” “us,” or “our”). By using the Site, requesting a quote, or booking a service, you agree to these Terms. If you do not agree, please do not use the Site or our services.

1. Acceptance of Terms
By accessing the Site or engaging Pro Air for services, you confirm that you are at least 18 years old and able to enter into a binding agreement. These Terms apply to all visitors, users, and customers.
2. Our Services
Pro Air provides residential and commercial air duct cleaning, dryer vent cleaning, air duct deodorizing and sanitizing, UV-C light installation, and related services. AC and furnace tune-up service is booked through Pro Air and performed by a licensed, state-registered Wisconsin HVAC contractor we partner with; that contractor is responsible for the work it performs on your equipment, and we will identify it to you on request before the visit. The specific scope of any job will be confirmed with you before work begins. We reserve the right to refuse or discontinue service in our reasonable discretion.
3. Quotes & Estimates
A number given over the phone or online before we have seen the system is an estimate; the written quote we give after counting your vents and returns replaces it and is the price for the work it describes. That price does not go up because the job took longer or the ducts were dirtier than expected. It changes only if you add a service — a second system we were not told about, a dryer vent added on the day — and you agree to the new number before that work starts. We do not perform extra work and bill for it afterward.
4. Scheduling, Access & Cancellations
You agree to provide safe and reasonable access to the areas and equipment to be serviced at the scheduled time. If our team cannot access the property or the system at the scheduled appointment, or if no one is available to provide access, we may need to reschedule.
There is no deposit and no cancellation fee. If you need to cancel or move your appointment, a call or text as early as you can lets us offer the time to someone else. If we arrive for a confirmed appointment and cannot get in or reach you, we simply rebook, and we may ask to confirm the day before the second visit.
5. Payment Terms
Payment is due upon completion of the service unless we agree otherwise in writing. We accept the payment methods communicated at the time of service. For commercial or multi-unit work, payment terms may be set out in a separate written agreement or invoice. Late or unpaid balances may be subject to reasonable late fees and collection costs as permitted by law. Financing, where offered, is provided by a third-party financing platform and its lending partners under their own agreement with you, subject to their approval; we are not a lender and we do not make credit decisions.
6. Refunds & Make-Right Visits
Our work is a service performed on your property. Once it is done it cannot be returned, so we do not refund completed work. What you get instead is a written price before we start, the right to cancel at no charge any time before we begin, and our commitment to make the work right:
- Before we start: you can cancel or reschedule at no charge (Section 4). Nothing is owed until the work is done.
- While we work: if you are not happy with how the job is going, say so on the spot and we stop. You pay only for the work actually completed, at the written price for that part.
- After we leave: if something is not right — a register left loose, a line we missed, debris where it should not be, an access opening not closed — call or text within 7 days and we come back and fix it at no charge. That visit is the remedy for our own workmanship, and we will always try it first.
- Refunds after completion are given only where a make-right visit cannot fix a failure that was ours, are limited to the part of the price for the work in question, and are confirmed by us in writing. They are not given because the ducts did not come out looking new, because a smell that lived in carpet, drywall or furnishings remained, because a health, allergy or energy result you hoped for did not follow, or because equipment that was already worn failed (Sections 7 and 8).
- Card disputes: please contact us before disputing a charge with your bank. We answer faster than a chargeback process does, and we keep before-and-after photos of every job.
7. What the Work Can and Cannot Do
Duct cleaning removes what is in the ducts; it does not make them new. A whole-system cleaning takes out the loose and lodged material — dust, dander, hair, lint, construction debris, the things that fell through a register — from the supply and return runs, the trunk lines and the register boots. Sheet metal that is scratched, rusted, dented, oxidized or stained comes out cleaner, not new; flexible duct and duct board are cleaned more gently and keep their age and wear. How much better a system gets depends on the condition we find it in, and we photograph what came out and what the trunk lines look like afterward so the difference is yours to see, not ours to describe.
Deodorizing deodorizes. A deodorizing (sometimes called sanitizing) treatment is applied to cleaned duct surfaces, per its label, for a smell that survives the cleaning. It does not disinfect the air in your home, it does not eliminate mold, and it cannot remove a smell that lives in carpet pad, drywall, paint or furnishings. Visible mold is a moisture problem and, beyond a small patch on sheet metal, a job for a remediation contractor; we photograph it and tell you.
Dryer vent cleaning clears lint from the vent run; it reduces the fire risk that comes from a blocked vent and usually shortens drying time. It does not repair a crushed, disconnected or improperly routed vent, which we will show you if we find it.
We do not promise a health outcome, allergy or asthma relief, a lower energy bill, or the elimination of all allergens, mold, odors or fire risk (see also Section 11).
8. Your Furnace, Ducts & Equipment
What we do to your system. To clean a duct system we cut access openings into the main supply and return trunk lines, connect our vacuum and agitation equipment to them, and close those openings when the work is done. We tell you where they are and photograph them. Our equipment runs on its own power; the only part of your furnace or air handler we operate during a duct cleaning is its power switch, which we turn off before we begin and back on when we finish. As part of a duct cleaning we do not open, adjust, repair or wire the electrical or gas components of the furnace.
Older or faulty equipment. Cleaning moves air through the duct system and dislodges what is in the ducts; it does not put stress on a furnace or air handler beyond a normal running cycle. A furnace, blower, air handler or air conditioner that is worn, defective, poorly maintained or near the end of its life can fail at any time, including on the day of a cleaning, and that failure is not caused by the cleaning. We are not responsible for the failure, repair or replacement of equipment that was already worn, defective or at the end of its life, and turning the power switch off and on is not an inspection of, or a warranty on, that equipment. We remain responsible for damage we cause through our own negligence. If your equipment is old, has a known fault or has not been serviced in years, please tell us before we start (Section 10) so we can plan around it.
What we may find. Ducts sometimes hold conditions that pre-date our visit: mold, pests, disconnected or collapsed runs, crushed flexible duct, or older duct wrap, tape or insulation that may contain asbestos. We do not disturb suspected asbestos material; we stop, photograph it and tell you. Correcting any of these conditions is separate work that we quote in writing or refer to the right trade; it is not included in a cleaning unless the written quote says so.
9. Communications & SMS Consent
By providing your phone number, you agree that Pro Air may contact you by phone call and text message (SMS) regarding your inquiry, quote, appointment, and service. Where you opt in, we may also send promotional messages. Message frequency varies, and message and data rates may apply. You can opt out of texts at any time by replying STOP, or reply HELP for help. Consent to receive marketing messages is not a condition of purchasing any service. Please see our Privacy Policy for more detail.
10. Customer Responsibilities
You agree to: provide accurate and complete information about your property and system; disclose any known hazards, defects, or pre-existing damage; secure pets and fragile or valuable items prior to the appointment; and obtain any necessary permission to authorize work (for example, if you are not the property owner). You represent that you are authorized to request service for the property in question.
11. Warranties & Disclaimers
We take pride in our work and perform our services in a professional, workmanlike manner. Any specific service guarantee we offer will be stated by us in writing.
Our services are not a substitute for professional medical, safety, or engineering advice, and we do not guarantee the elimination of all allergens, mold, odors, or fire risk.
12. Limitation of Liability
Some jurisdictions do not allow certain limitations, so some of the above may not apply to you. Nothing in these Terms limits liability that cannot be limited under applicable law.
13. Indemnification
You agree to indemnify and hold harmless Pro Air and its owners, employees, and contractors from any claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising out of your breach of these Terms, your misuse of the Site, or your violation of any law or the rights of a third party.
14. Intellectual Property
All content on the Site — including text, graphics, logos, the Pro Air name and logo, images, and design — is owned by or licensed to Pro Air and is protected by intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from our content without our prior written permission.
15. Third-Party Links
The Site may contain links to third-party websites or services that we do not control or endorse. We are not responsible for the content, policies, or practices of those third parties.
16. Privacy
Your use of the Site and our services is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
17. Governing Law & Venue
These Terms are governed by the laws of the State of Wisconsin, without regard to its conflict-of-laws rules. Subject to the arbitration provision below, you agree that any dispute not subject to arbitration will be brought exclusively in the state or federal courts located in or serving Dane County, Wisconsin, and you consent to the jurisdiction of those courts.
18. Dispute Resolution & Arbitration
We hope to resolve any concern informally first, so please contact us before pursuing a formal dispute. If we cannot resolve it, you and Pro Air agree that any dispute arising out of or relating to these Terms or our services will be resolved by binding arbitration on an individual basis, rather than in court, except that either party may bring a qualifying claim in small claims court.
This section does not prevent either party from seeking injunctive or equitable relief to protect intellectual property or confidential information.
19. Changes to These Terms
We may update these Terms from time to time. When we do, we will revise the “Last Updated” date above and post the updated Terms on this page. Your continued use of the Site or our services after changes take effect means you accept the updated Terms.
20. Severability & Entire Agreement
If any provision of these Terms is found unenforceable, that provision will be limited or removed to the minimum extent necessary, and the remaining provisions will stay in full force. These Terms, together with our Privacy Policy and any written agreement or invoice for a specific job, make up the entire agreement between you and Pro Air regarding the Site and our services, and supersede any prior understandings. Our failure to enforce any provision is not a waiver of it.
