This Privacy Policy describes how Pro Air Duct Cleaning of Madison, WI LLC (“Pro Air,” “we,” “us,” or “our”) collects, uses, shares, and protects information about you when you visit proairductcleaningmadison.com (the “Site”), contact us, or use our services. This Policy describes what we actually do. It is not a consent form: reading the Site signs you up for nothing, and the only information we hold about you is what you choose to send us.

1. Information We Collect

Information You Provide to Us

When you request a quote, book a service, refer a friend, or otherwise contact us, we collect only what the request needs. Our forms ask for:

• Your name — so we know who to address the quote to.
• Service address and city — the city tells us whether you are inside our service area; the street address lets us price the job from the property (size, age, number of systems) and give you one written price without a sales visit.
• Phone number — required only if you ask to be texted or called; it is optional when you ask for an email reply. Email address — required only if you ask for an email reply.
• The service you want, and on the apartment pages a property name and unit count (both optional) so a per-building quote is possible.
• How you want us to reply (text, email or a phone call) and your consent to be contacted about that request.
• On the Refer a Friend page, your friend’s name, city and phone (email optional), together with your confirmation that your friend agreed to be contacted. We use those details for one thing: to reach your friend about a quote. A friend who does not want to hear from us can tell us so, and we delete the details.

We do not ask for a date of birth, an ID number, a payment card, a password, or anything about your household beyond the property to be cleaned. There is no account to create. If you call or text us instead, we hold only what you tell us on the call.

Information Collected Automatically

This Site runs no analytics and sets no tracking cookies, so we do not build a record of the pages you view or the links you click. What does exist is the ordinary access log every web server keeps: our host records the IP address a request came from, the browser and operating system it reported, the address requested, the referring page if your browser sent one, and the time. Those logs are kept by our hosting provider for a limited period for security and troubleshooting.

We do not record your IP address against a form submission ourselves. Web3Forms, which carries the form to us, does see the technical details of the request (your IP address, browser type, and the page the form was on) and may pass your IP address and email address to the spam-screening services it uses (CleanTalk and Akismet, at the time of writing); that handling is covered by its privacy policy (opens in a new tab) rather than ours.

Information From Third Parties

We do not receive information about you from advertising or analytics partners. We have no advertising or analytics accounts connected to this Site, so there is no such data to receive. If you leave a public review of us on Google or another platform, we can see it in the same way anyone else can, because you published it there.

When you submit a quote or referral request, your browser sends it directly to Web3Forms, a form-delivery service acting as our processor, which passes it to us by email. It is not stored on this website — this Site keeps no database of requests. Web3Forms states that it retains submission data for up to three years and then deletes it automatically, and that it uses Amazon Web Services, Cloudflare and Hetzner to run its service. What we hold is the email it delivers to us. If the form shows a spam check (hCaptcha), your browser also communicates with hCaptcha, which may process your IP address, browser details and anti-spam signals under its privacy policy (opens in a new tab). You can always call or text us instead of using the form.

2. How We Use Your Information

We use the information we collect to:

• Respond to your quote requests, questions, and service inquiries;
• Schedule, provide, and follow up on our services;
• Send you appointment confirmations, reminders, invoices, and service-related messages;
• Send you marketing communications about our services, promotions, and offers (where permitted, and which you can opt out of at any time);
• Operate, maintain, improve, and secure the Site;
• Understand which of our own pages and service areas people ask about, so we know where to spend our time;
• Detect, prevent, and address fraud, abuse, or technical issues; and
• Comply with our legal obligations and enforce our agreements.

3. Cookies, Consent & Browser Storage (our Cookie Policy)

A cookie is a small text file a website stores in your browser to recognise it later. This section is our cookie policy, and it is short because there is little to describe: the pages of this Site set no cookies of their own, no analytics or advertising cookies, no tracking pixels, and no third-party embeds (no map, no video player, no social-media button, no fonts fetched from another company — the typefaces are built into each page). We checked every page of the current build before publishing it; the count is zero. The pages also use no local storage or session storage in your browser.

Why there is no cookie banner. Consent banners exist for cookies that are not needed to run a site — analytics, advertising, tracking. This Site has none, so there is nothing to ask you to accept or refuse, and a banner would only be one more thing to tap on a phone. If that ever changes, the banner and this section change first (see below).

Everything that can end up in your browser on this Site, and why:

• WordPress sign-in cookies (wordpress_logged_in_…, wordpress_sec_…, wp-settings-…) — set only when the site’s administrator signs in to edit pages. A visitor never receives them. A test cookie (wordpress_test_cookie) is set only on the sign-in page itself. Strictly necessary; first party.
• Our hosting provider (Hostinger) may set a short-lived technical cookie to deliver pages securely or to tell a person from an automated program. Such a cookie holds no personal information and is not used to track you. Strictly necessary; expires quickly.
• The spam check on our forms (hCaptcha) — loads only if we have switched it on, and only on a page with a form. hCaptcha may set a strictly-necessary cookie (for example hc_accessibility for users of its accessibility mode) and processes your IP address, browser details and interaction signals to tell a person from a bot, under its privacy policy (opens in a new tab). hCaptcha states these are consent-exempt cookies. When the spam check is off there is no hCaptcha code on the page at all; when it is on, its checkbox appears above the form’s button, so you can see it.
• Sending a form — your browser sends the request straight to Web3Forms (Section 1). That is a form submission, not a cookie: nothing is left in your browser afterward.

Links that leave this Site. Some pages link to other companies’ websites — the EPA, Wisconsin’s Department of Health Services and the U.S. Fire Administration for the facts we cite; the financing company named on our Financing page; Google for reviews; Web3Forms and hCaptcha for their privacy policies. Those sites set their own cookies under their own policies once you arrive there. Nothing from them loads on our pages.

Your controls. You can block or delete cookies in your browser’s settings at any time; because this Site sets none for visitors, doing so changes nothing here. Every page also works with JavaScript turned off, including the quote form.

If we ever add an analytics or advertising tool that this section does not describe, we will update this section before the tool goes live, and where the law requires it we will ask for your consent first.

4. Advertising & Analytics

We do not run advertising or analytics providers on this Site today, and we do not use remarketing or interest-based advertising based on your visit here. No data about your browsing is shared with an ad network by this Site.

We may list our business on Google Business Profile and similar directories. Those are separate services with their own privacy policies, and visiting them is not the same as visiting this Site.

5. Phone Calls & Text Messages

When you give us your phone number, you agree that we may call or text you about your request, your appointment, and your service. Our texts come from a person on a business phone, not an automated marketing platform, and we do not run an automated promotional text program.

• Message and data rates from your carrier may apply.
• To stop hearing from us, reply STOP or simply tell us to stop, by text, by email, or on the phone. We will honor it.
• Agreeing to be contacted is not a condition of buying any service.
• We do not sell or share your phone number with anyone for their own marketing.

6. How We Share Information

We do not sell your personal information for money. We may share information in the following circumstances:

• Service providers — vendors who perform services for us, such as website hosting, email delivery, scheduling, and payment processing. When you send a quote request, the details you entered are passed to Web3Forms (opens in a new tab), the service that delivers that request to our inbox. Your browser sends the request to Web3Forms directly; nothing is saved on this website first. Web3Forms may pass your IP address and email address to its spam-screening providers, and the optional spam check on the form is provided by hCaptcha.
• Advertising & analytics partners — none today. We do not share online identifiers with an ad network or an analytics service from this Site. If that ever changes, we will update Sections 3 and 4 first, and your choices in Section 7 will apply.
• Legal & safety — when we believe disclosure is necessary to comply with the law, enforce our agreements, or protect the rights, property, or safety of Pro Air, our customers, or others.
• Business transfers — in connection with a merger, acquisition, financing, or sale of all or part of our business.

7. Your Privacy Choices & Rights

Depending on where you live, you may have rights regarding your personal information, including the right to request access to, correction of, or deletion of your information, and the right to opt out of certain advertising-related sharing. Residents of states with applicable privacy laws (such as California) may have additional rights, including the right not to receive discriminatory treatment for exercising those rights.

To exercise any of these choices, contact us using the details in Section 13. You may also:

• Opt out of marketing emails by using the “unsubscribe” link in any email;
• Opt out of marketing texts by replying STOP;
• Control cookies through your browser settings — this Site sets none of its own for visitors (Section 3); and
• Ask us to delete a request you submitted, using the contact details in Section 13. There are no advertising opt-outs to use, because this Site runs no advertising.

8. Data Retention

This Site stores no quote or referral requests, so there is nothing held here to expire. Your request exists as the email Web3Forms delivered to us, as the copy Web3Forms itself keeps for up to three years under its own policy, and as anything we then write down to schedule and carry out the work. We keep the email and our own notes for as long as we need them to respond to you, do the work, and keep the business records the law and our warranty require; after that we delete them.

You can ask us to delete your information at any time using the contact details below, and we will remove it from our inbox and our own records.

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

10. Children’s Privacy

The Site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

11. Third-Party Links

The Site may contain links to third-party websites and services that we do not control. This Policy does not apply to those sites, and we encourage you to review their privacy policies.

12. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the “Last Updated” date above. Material changes will be posted on this page, and your continued use of the Site after changes take effect means you accept the updated Policy.
